Customize Q&A forms and automated emails

Throughout the process of submitting questions or answers, users are asked to complete specific forms or receive various notification emails.

These emails and forms can be customized directly in your Q&A space, in line with your usual wording and brand guidelines.

The Iframe displaying the Questions & Answers module can also be customized.

The forms and iframe are hosted on static servers. Therefore, all business logic is handled through calls to the Q&A API.

To do so:

  1. From the left-hand menu of your Verified Reviews account, click on   Questions & Answers.
  2. Then click on Customization in the left-hand menu of the newly opened page.
  3. At the top left of the page, choose the type of elements you want to customize: Emails, Forms or Iframe. 
  4. Changes must be saved or reset using the dedicated buttons available at the top right of the page:

The logo displayed on your forms and emails corresponds to the one you selected in your configuration preferences.

Emails

On the left-hand side of the page, for all email templates, you can customize the following elements:

  • Sender and subject line: in the Email recipient section
  • Email content: question title summary, question content, text content, action button, thank-you message, and signature.
  • Colors: for all email elements.

On the right-hand side of the page, a preview is available so you can see the changes you make to the template.

If you delete the %s, the associated variables will also be deleted.

Question validation

When a user clicks on Ask a question on your product page and completes the submission form, they automatically receive an email. This email allows them to confirm the submission of their question.

If the user does not confirm their question via this email, it will not appear in the Q&A moderation space.

Question request

This email is sent to buyers of a product inviting them to answer a related question. It is sent after you approve the publication of the question and click the Request the community button.

Answer validation

When a user submits an answer to a question via the form, they automatically receive a confirmation email.
This email is sent whether they filled out the form after receiving your request by email or directly from the Answer button on your product page.
It allows them to confirm the submission of their answer so it can be properly processed.

If the user does not confirm their answer via this email, it will not appear in the Q&A moderation space.

Reported items

When a user reports a question or answer from your product page, they automatically receive a confirmation email. This email allows them to validate their report request.
Without this validation, the content will not be sent to your reported content space.

You are responsible for integrating the Report button Report into the Q&A module on your product pages.

Answer received

The user who asked a question receives an email as soon as another customer provides an answer.

Conversation received

The user receives this email when you click Start a conversation to request clarification about the answer they provided to the question.

This email is sent to your Q&A moderator team when content (questions and answers) needs to be moderated in your space.

Forms

The Form section groups all the forms your users may need to complete during the Questions & Answers process.

You can customize their content as well as their colors.

For each form, you will find the following elements:

In your space, click the buttons to preview each message as it will appear to the user:

Step 1/2 and 2/2

By default, the button shows Step 1/2, which corresponds to the fields for the title and content of the question the user wants to ask.

Click it to access Step 2/2, dedicated to validating the question, including email, first name, last name fields, and acceptance of the terms and conditions.

Missing fields
This message appears when the user tries to submit the form without completing all required fields: "Please fill out the required fields".
Submission success
This message appears once the user has successfully completed the form. They will then receive the email called Answer Validation to confirm their question. Without this confirmation, the question will not be submitted for moderation.
Submission failure
This message appears on the page if an error occurs during form submission.
Validation success 1/2
The message Validation success 1/2 appears when the user has validated their question via the email Answer Validation.
The message Validation success 2/2 corresponds to "You have already validated your question".
Validation failure
This message appears if an error occurs when the user tries to validate their question via the Answer Validation email.

Here are the different forms you can customize:

Question

The form the user must complete to ask their question and send it to you:

Answer

The form that solicited buyers must complete to respond to the question asked:

Public answer

The form that your website visitors must complete to answer the question published on the product page:

Exchanges

The form users must complete to exchange with other consumers about the question asked.

Reporting

The form your website visitors must complete to report questions or answers:

Iframe

Like the forms, the iframe also has a top bar. The first four buttons are for voting. When a user upvotes or downvotes a question or answer, a notification appears in the top right and disappears automatically after five seconds. In the customization tool, it only disappears when the user clicks "Hidden notification."

The "Initial state" button and the send-related buttons change the state of all forms present in the iframe.

Forms bar

The forms and iframe have a header bar (visible only in this tool) that allows you to change the state of the forms.

  • "Step" button: advances the form state. For a question, the first step corresponds to the title and content, while the second concerns customer information.
  • "Missing fields" button: displays a message prompting the user to complete all required information.
  • Send-related buttons: simulate the form submission by a user. An error may occur if Q&A servers are temporarily down or if there are errors in the entered data (e.g., the user forces a question submission without an email address).
  • Validation-related buttons: simulate clicking the validation link in the email. Failure may be due to a temporary Q&A server issue or incorrect parameters, such as a copy-paste error.

Content reset

Each customization field has a reset button on its right

This button replaces the displayed value with the one present when the page loaded. If no customization was made, it restores the default values. If a customization exists, it replaces the current value with the one you previously saved.

A full reset of all settings is possible via the Reset to default button in the top right corner of the page:

This action will remove all template customizations.
